Checklist

Use this checklist to ensure that you have styled a table properly according to journal specs.

Note: Please check the table specs for the journal you are editing before styling a table.

Basic cell alignment: Bottom

Basic Cell Alignment: Bottom

The very first item you should style is the vertical cell alignment in a table. Many, if not all, table specs require for data in a cell to be aligned to the bottom of the cell.

How to Style for Bottom Cell Alignment

1. Select the entire table.
2. Select Table/Table Properties/Cell/Vertical Alignment/Bottom

In Print View, click on the four-headed arrow to select the entire file. Double-click the arrow to open the Table Properties dialog box.

In Normal View, select Table/Select/Table.

Select Table Properties.

Select Cell/Vertical Alignment/Bottom.

Basic Row and Cell Styling: Add/Delete Rows/Columns/Cells

·        Data must be in its own, separate cell.

·        If you have any hard returns in the file that are not in the TableHead, you must add rows and cut and paste data into the new cell.

How to Add Rows/Columns

·        Place cursor in the row or column.

·        Depending on whether you want to add a row above the current row or below the current row, or add a column to the left or to the right of the current column, select the following:

§      From the Table Dropdown Menu

·      Table

·      Insert

·      Rows Above (Columns to the Left)

·      Rows Below (Columns to the Right)

§      From the Table Toolbar

·      Click on the Insert Table icon

·      Select desired action

·      Note: Whatever action you select will be active on the icon until you change the action. For example, if you select Insert Rows Above, clicking on the icon again will repeat the same action.

How to Delete Rows/Columns

·        Place cursor in the row or column that you wish to delete

·        Select Table/Delete/(Columns, Rows, or Cells)

Alignment of Rows and Cells: Left, Right, Center, Decimal

We have determined that all cells should be vertically aligned with the bottom of the cell, but now we must adjust the horizontal alignment of the data in the table.

·      Start “from scratch”: select the entire table as shown above and Align Bottom Center.

·      Use the alignment icons on the Table Toolbar, not the Styles and Formatting Toolbar.

·      Highlight the row, column or individual cell.

·      Click on the desired alignment (always select the Bottom alignment options, unless you are aligning by decimal).

§      Note: Whatever action you select will be active on the icon until you change the action. For example, if you select Align Bottom Center, clicking on the icon again will repeat the same action.

How to Align By Decimal

·      Select all the cells in the column for which you need decimal alignment.

·      Set the button on the left-hand side of Word’s horizontal ruler for decimal tabs by clicking on it until you see the decimal tab icon ( an upside-down T with a dot next to it).

·      Create the tab by clicking on the place on the ruler where you want your tab to be.

·      If you already have numbers in the column, they will immediately align themselves with the decimal tab,

·      If you enter new numbers, they will automatically align with the tab as well, without your having to enter a tab into each cell.

·      Note that any numbers that appear in MathType will not appear to align properly with the rest of the column. That’s okay! As long as the decimal alignment has been set, it will export properly.

Create the tab by clicking on the ruler.

·      Start “from scratch”: Select the entire table as shown above and remove all rules.

§      From the Table dropdown menu:

·      Select Table/Table Properties/Table/Borders and Shading/Borders/Setting: None

·      Apply to entire table

§      From the Table Toolbar:

·      Select the Borders icon

·      Select No Border

Note: Even though the journal specs may call for double rules on the top and bottom of the table, use single rules. Single rules will convert to double rules according to the journal specs.
